As a clinic admin you decide which SOPs your clinic follows, who your staff are, and you keep an eye on training and compliance.
Adopt and customise SOPs
In SOP library, each SOP can be:
- Adopted & tracking— your clinic follows the latest published version automatically.
- Customised — you keep your own edited copy. Use Customise a copy, then Edit. You can always Compare with latestto see how your copy differs from the source, and adopt upstream changes when you’re ready.
Clinic-profile details (licence number, Principal Officer, Clinical Governance Officer) fill into SOPs automatically wherever a {{token}} appears — set them once under Clinic profile and every SOP stays in step.
Approve and control documents
Adopted SOPs carry a controlled-document status and an approval trail with e-signature, effective dates and review cycles. See Document control & sign-off. (Staff can’t see or change document control, customise copies, or edit SOP content — those are admin-only.)
Staff and roles
- Staff— create logins, set each person as staff or admin, reset passwords and disable leavers. New accounts get a temporary password they must change on first login (and can be emailed an invite).
- Roles— group SOPs by role so each person sees only what applies to them.
Track training
Training shows who has completed each SOP, on its current version. From there you can drill into a staff member or an SOP, send reminders, export a CSV, and open the Compliance report for printing or PDF. The Audit trail is a tamper-evident log of every acknowledgement, knowledge-check attempt, approval and change.
A staffer counts as trained when they pass an SOP’s knowledge check (or acknowledge it, if it has none) on the latest material version — a minor update won’t reset everyone.
